Role purpose

To support the delivery of high quality customer service as part of a larger team in line with the corporate standards and policies.
The postholder will be the main point of contract for visitors, providing information about our products and services.
The role is also responsible to ensure a smooth customer journey through all our communication channels.


Main Accountabilities

The postholder will be based in Abuja, working within a team dispersed across offices
To deliver a high standard of customer service to our customers and prospects and make them advocates of the British Council
To handle first level enquiries received in person, by email or telephone on relevant aspects of the British Council’s activities / products, in a friendly and professional manner, in line with customer service standards. Forward second level enquiries to relevant colleagues, ensuring they are attended to within specified timelines.
To update and maintain standard responses and other information for enquiry handling and send out information by mail or telephone, as required
To carry out all reception and registration duties as required in line with relevant corporate standards and policies. Ensure that visitors are attended to immediately
All service registration procedures (i.e. Exams, Certification and other programme registration) are fully understood and implemented to standard.
To record all forms of customer data and records accurately to meet corporate customer service standards to inform reporting requirements and strategic decision making
To support training of venue staff to ensure adequately trained and updated to deliver excellent customer service for British Council activities such as exams and external event activities, as required
To maintain an up-to-date contact database of our customers, in relevant segments, within the agreed contacts spreadsheet or system (i.e. CRM)
Ensure that customer receives responses within our service level agreements and within customer service policy
Ensure information about the full range of British Council products and services is clearly and confidently articulated to customers, encouraging customer engagement and possible cross-selling of other British Council products
Ensure regular communication and working is maintained with back office teams
To regularly attend staff meetings to both gain and impart knowledge about our customers, products and services
Regular communication and working is maintained with back-of-house teams
Receive mail packages on behalf of team and in line with internal policy.  Follow compliance policy per exams quality standards with regards to confidential materials.
Information Knowledge Management:

Manage information created and received in compliance with British Council’s information management standards, policies, the UK data protection principles and local legislation.
Stock keeping of materials:

Maintaining logs of exam preparation materials, as required.
Finance:

Ensure that payments are collected, receipts issued and accurately posted on the system. (This is mostly applicable to exam payment processing)
To collect and report payment collected from customers for exam services on a daily basis according to FCCF and audit requirements, by issuing receipts for all income received to enable reconciliation and processing of refunds. Financial transactions must be balanced and closed with actual received income.
Conduct daily/weekly reconciliations on financial systems and spreadsheet.
Other Duties:

To discharge other duties and activities as directed by Management.

Qualifications
Minimum / Essential:

Education to degree level or equivalent.

Role Specific Knowledge & Experience

Minimum / Essential:

Dealing with customers and enquiries in a service environment
Providing and monitoring service with quality standards
Working quickly and accurately to tight deadlines.
Strong attention to detail
Experience in handling and reporting on payments from customers
Experience dealing with difficult customers
Strong verbal and written communication skills.

Minimum / Desirable

Experience in public sector, education or related services industry
Managing and training casual staff
Experience in digital communication (i.e. social media, website)
Knowledge of the education and qualification systems in UK and Nigeria.

The Customer Service Executive is responsible for providing secretarial, clerical and administrative support and handling front office function and administration duties, attending to guests, answering phones, handling company inquiries, and sorting and receiving mail.
Operates multi-line telephone system to answer incoming calls; directs callers to appropriate employee.


Key Responsibilities

Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments

Greets customers, Brokers, vendors, employees from other Units and other visitors with high degree of professionalism and courtesy

Directing customers/visitors appropriately, anticipate customer needs and given necessary response. Ensuring effective communication, to elicit satisfaction of Customers

Operates multiple-call telephone switchboard console and routes calls to the appropriate person or location within the office and branches. Exercises discretion and interpretive judgment in frequent and sometimes stressful contacts with callers

Answering incoming calls and directing those calls to the proper parties. Calls are answered in three rings or less. ?Having Conflict resolution skill and not joining issues with customers. Patience is very essential in customer service

Research and identify the appropriate business units or persons for callers when it is not obvious from a provided list
Analyze data to determine answers to questions from customers or members of the public

Having good record of Incoming and Outgoing Visitors ?Identify telephone system problems and immediately alert the proper personnel

Security conscious at all time, Maintains safe and clean lobby area

Assist in mailroom operations and delivery of mail, updating address lists, and making cost effective decisions concerning packing, shipping and postage, distributes all incoming mails, including inter-office mails, and/or packages in accordance to Mail Services procedures

Support the Procurement Unit is all purchasing and supply functions such as drafting of Local Purchase Order (LPO) agreements and Service Level Agreements (SLA); Negotiate favourable terms, volume discounts, and long-term contracts with suppliers for the procurement of goods and services; etc

Support in the area of visa and passport arrangement, travel logistics, hotel reservations for staff and The Exchange’s guests and other Protocol and Logistics functions as my be assigned by the Head of the Department. ?Executive Assistant Cover for ExCo

Assist in providing high level administrative support to the executive and manage complex, ever-changing calendar

Assess the urgency and importance of situations and take appropriate action to determine the necessary level of senior management involvement

Support the planning, organizing and preparing for complex meetings including: communicating meeting details to stakeholders, arranging meeting venue and required equipment, compose and/or work with others stakeholders to prepare agenda, ensure relevant materials are ready for meetings and/or review, providing day-of-event support, etc

Provide non-confidential information about The Exchange, such as location of departments or offices, employees within the organization, or services provided as required to guest/visitors

Research, obtain and analyze gathered information to resolve problems

Responsible for risk and compliance management in areas of assigned functions

Perform other related duties as requested by the Head – Administration Department or Divisional Head

Obasanjo Speaks On Fayemi’s Victory In Ekiti

Obasanjo speaks on Fayemi’s victory in Ekiti

Former President Olusegun Obasanjo has written to the Ekiti State Governor-elect, Kayode Fayemi, congratulating him on his victory in Saturday’s governorship election in the state.

“Indeed, your success at the polls after a hard fought campaign is proof that the people of Ekiti State value your leadership and appreciate the efforts you have made thus far on their behalf,” Mr Obasanjo said in the letter dated July 15. “I salute you and all those who worked for your re-election.”

The former President, who said he received news of Mr. Fayemi’s election while on transit to Beijing, China, described the politician’s victory as a huge feat.
He added, “You will agree with me, no doubt, that the outcome of the election broadly reflects the choice of your people, who have, by their conduct, visibly demonstrated that they cherish you and will do their utmost to make you succeed.

“I urge you, therefore, to reciprocate their trust by doing everything you can to strengthen their faith in democracy and in its ability to bring about improved material conditions and better service delivery to them.
“You have fought and won the election and deserve to savour the victory. As you rejoice, however, I would urge that you should be magnanimous in victory and stretch a hand of fellowship to the other candidates who failed in their bid for elected office.

“Such a gesture is not only charitable but should also help at this time to cool passions in the wider interest of Ekiti State in particular and Nigeria at large.

“I felicitate with you, once again, on your renewed mandate and, as you prepare for another four years at the helm of affairs of Ekiti State, I extend best wishes for your good health and the continued progress of Ekiti State under your able leadership.”

Although Mr. Obasanjo is opposed to Mr. Fayemi’s party, the All Progressives Congress, (APC), he appeared to prefer the victory of the party in this particular election.
The former President had in 2006 masterminded the impeachment of the state’s then and current governor, Ayo Fayose, from office. Mr. Fayose was at the time accused of monumental corruption.


Mr. Fayose surprisingly returned to office by defeating Mr. Fayemi in the 2014 election. But he has remained one of the most consistent critics of Mr. Obasanjo, abusing the former leader from time to time.
It appears the former president wanted PDP defeated in Ekiti as punishment for Mr. Fayose.
